The New Rulebook for AI in Cleaning

For the professional cleaning industry, the rules signal both a challenge and an opportunity as smart machines become part of everyday operations.

A New Legal Landscape

With the introduction of Law no. 132/2025, Italy has become one of the first European countries to fully align with the EU’s AI Act, setting clear expectations around transparency, security and accountability.

The move directly affects the cleaning sector, where technologies such as autonomous robots, sensor-equipped machines, remote monitoring and predictive maintenance software are now embedded in daily workflows.

Manufacturers are entering a pivotal period. They must adapt to the new framework not only to remain competitive but also to build trust with customers and protect operators, the European Cleaning Journal notes.

Mapping What Counts as AI

The starting point for companies is to identify which of their products qualify as AI systems. Any machine or software using learning algorithms, computer vision, or predictive analytics falls within the scope and must meet compliance and risk classification requirements.

This includes autonomous scrubber-dryer robots, obstacle-detecting vacuum cleaners and automated planning platforms. Businesses must compile up-to-date technical documentation and assess how each product fits into the risk categories defined by the legislation.

Keeping Humans in Control

A central principle of the law is clear: AI must remain under human supervision. Systems must allow manual intervention if something goes wrong, provide understandable explanations for their decisions and maintain safety even as they continue learning.

For manufacturers, this means rethinking product design to include intuitive interfaces, robust safety controls and continuous monitoring. Transparency must extend beyond engineering to customer communication as well.

Manuals, labels and marketing materials will need to clearly outline automated functions, limits of autonomy and how human oversight works. In this new environment, “artificial intelligence” must be presented as a verified technical feature rather than a marketing buzzword.

Responsibility Across the Supply Chain

The legislation also strengthens accountability throughout the supply chain. Companies integrating third-party software, sensors or AI models must ensure these components meet European standards.

Simple trust in suppliers will no longer suffice. Technical audits, specific contractual clauses and checks on the origin of training data will become routine. Many firms are already appointing internal AI officers to oversee compliance and liaise with regulators.

From Innovation to Responsible Innovation

Further implementing rules are expected in the coming months, including details on penalties, but the direction is unmistakable: companies must act now. Data registers, process traceability and controlled software updates are becoming essential requirements for staying in the market.

Businesses that successfully embed transparency and safety into their products could turn compliance into a competitive edge, strengthening the credibility of an industry increasingly driven by intelligent, connected technology.
